Office Administrator Work Hours/Pay/location/Industry:
- Shift: Monday to Friday from 8AM 5PM
- Pay rate: Flexible depending on experience
- Location: Downtown Jacksonville
- Industry: Full-service general contracting firm that specializes in multi-family and commercial construction
Office Administrator Responsibilities:
- Welcome visitors, clients, subcontractors, vendors, employees, applicants, etc. And notify appropriate individuals of visitor arrival.
- Build relationships with clients, vendors, employees, peers, and visitors while working enthusiastically with diverse personalities.
- Coordinate workflow and communication between departments, clients, vendors, employees, peers, and visitors.
- Maintain a clean and professional reception area.
- Submit service tickets for IT, building, and office machine repairs as needed. Confirm repairs are complete and follow up when appropriate.
- Serve as a resource for new employees and assist in the on-boarding process.
- Maintain and order cell phones, tablets, and computers including ordering, tracking, troubleshooting, and ensuring the return of devices.
- Order, track, and maintain building and parking passes for employees.
- Gather, review, and organize timecards for payroll processing.
- Answer, screen, and forward incoming phone calls.
- Create, update, and distribute various group email rosters, employee lists, birthday lists, and phone lists.
- Maintain various shared calendars including tracking schedules and PTO.
- Receive and distribute all incoming mail and packages and facilitate the shipping of UPS and FedEx items.
- Ensure breakrooms are clean, presentable, and stocked.
- Monitor office supplies and place orders.
- Coordinate office events, meetings, and celebrations.
- Assist with marketing swag.
- Perform work related errands as needed.
- Assist with administrative duties as requested and provide administrative support to team members.
What will you need as an Office Administrator?
- 2+ years experience providing administrative support in an office setting.
- Excellent communication and writing skills.
- Able to maintain a high level of confidentiality.
- Highly motivated, punctual, organized individual who can work effectively with minimal supervision.
- Experience working in the Construction industry is preferred.
Knowledge of Microsoft Office including Excel, Word and Outlook.
Must pass a 5-panel drug test
No Felonies in the last 7 years
